Financial Policies

  1. The Academy reserves the right to amend, rescind, or update these Financial Policies at any time. The Academy agrees to make reasonable efforts to notify the responsible party of material changes, which may include posting on the Academy’s website or distributing notices through normal academy communications.
  2. Current tuition rates are published on the Academy’s website and available from the Academy office. The Academy reserves the right to adjust tuition rates for any ensuing academic year, and will notify enrolled families of rate changes prior to the re-enrollment period.
  3. The party signing this Agreement as financially responsible assumes liability for all enrollment, tuition, and other Academy-related fees.
  4. Fees and charges related to enrollment and registration are not refundable or transferable. Various academy programs such as field trips, special events or sports activities may incur separate charges.
  5. Enrollment is complete when the current Enrollment and Tuition Agreement is complete and enrollment fees paid.
  6. Any prorating of tuition, if granted in the sole discretion of Academy administration, shall be calculated on a 10-month academic year basis. The monthly tuition equivalent shall be determined by dividing the annual tuition rate by ten (10). If a Student is enrolled for any portion of a calendar month, that month shall be counted as a full month for proration purposes. No proration shall be calculated on a daily or weekly basis.
  7. Use of a tuition management service does not relieve the responsible party of their obligation to make timely payment under this Agreement. Currently, the Academy uses the services of the FACTS Management company. The responsible party will be notified of any applicable service fees prior to enrollment in a payment plan administered by the tuition management company. All payment plan payments must be submitted through the tuition management company. Academy may, in its sole administrative discretion, accept payments directly in the academy business office on a case-by-case basis, but this does not constitute a modification of the payment plan or a waiver of any obligation.
  8. When making payments in the academy business office, the acceptable payment methods are US currency, money order, bank check, debit card, or credit card. Personal checks are not acceptable payment.
  9. No student may enter the academic year until all outstanding balances are paid in full.
  10. All tuition due dates and payment plans have a five-calendar-day grace period, after which the account may incur late fees or other service charges issued by the tuition management partner.
  11. When an account is over five (5) calendar days past due, the Student(s) may be administratively suspended from attending classes and/or taking part in sporting or extracurricular activities until the account is paid current. Academy administration retains full discretion in determining the scope and duration of any suspension related to a delinquent account.
  12. Tuition accounts that are delinquent beyond the grace period two or more times in any academic year may cause the Academy to require at least one-half (½) of the annual tuition payment per re-enrolled student prior to the start of the ensuing academic year.
  13. All academic records, report cards, transcripts, diplomas, letters of recommendation, and enrollment verification may be withheld for any account with an outstanding balance, regardless of graduation or any other reason for termination or dismissal of the Student, until the account is fully paid.
  14. When an account remains delinquent beyond the grace period on three or more occasions, or when a balance remains unpaid for thirty (30) or more days, the Academy reserves the right to take any administrative action or employ any legal remedy available, including referral to a collection agency or initiation of legal proceedings, to collect amounts owed.
  15. Any account past due as of April 15 of the academic year may prevent the Student from taking final exams, receiving diplomas or yearbooks, and/or proceeding with graduation ceremonies.
  16. Families experiencing financial difficulty are encouraged to contact the Academy Finance Director or business office immediately upon anticipating or encountering a payment problem. The Academy will make reasonable efforts to work with families toward an appropriate resolution on a case-by-case basis. Prompt communication is essential — the Academy is far better positioned to assist families who reach out proactively than those whose accounts have already fallen past due.
